SERVICE MANAGEMENT

Service Status

Purpose

Service Status controls whether a service is still being configured, available for operational use, or no longer available for new activity. Historical records remain available when a service is inactive.

Available Status

Status Description
Pending The service has been created but is still being configured or reviewed. It is not available for operational use until activated.
Active Available for authorizations, scheduling, visits, Mobile EVV, billing, payroll, and reporting.
Inactive Not available for new operational activity. Historical records remain available.

Pending Service

A Pending service is still being configured or reviewed before becoming operational.

  • Cannot normally be assigned to new authorizations.
  • Cannot normally be selected for new schedules.
  • Cannot be used for visits, EVV, billing, or payroll.
  • Can be activated after configuration and review are complete.

Active Service

An Active service may be used for:

  • Individual service setup
  • Authorizations
  • Scheduling
  • Mobile EVV
  • Visit Maintenance
  • Billing and payroll
  • Reports

Inactive Service

  • Cannot normally be selected for new schedules.
  • Cannot normally be assigned to new authorizations.
  • Remains available in historical visits and billing records.
  • Remains available for reports and audits.

Before Changing Status

  • Active authorizations
  • Future schedules
  • Open visits
  • Pending billing records
  • Individuals currently receiving the service

Best Practices

  • Keep a new service Pending until all required configuration is complete.
  • Use Inactive instead of deleting a used service.
  • Do not inactivate a service required by future schedules.
  • Review dependent modules before changing status.
  • Document important status changes when required.

Security and HIPAA

Only authorized users should change Service Status. Status changes should be recorded in Audit Logs.

Although the status field does not contain PHI, changes may affect services associated with individuals. Access should follow the minimum necessary principle.

Troubleshooting

The service does not appear in Scheduling.

Confirm that the service status is Active. Pending and Inactive services are not normally available for new scheduling.

The service cannot be selected in Authorization.

Confirm that the service is Active and correctly configured.

A Pending service cannot be used.

Complete the required service configuration and change the status to Active.

Historical records are missing.

Do not delete services that have historical activity. Change them to Inactive instead.

Frequently Asked Questions

What is the difference between Pending and Inactive?

Pending means the service is still being configured and has not yet been released for operational use. Inactive means the service is no longer available for new activity but may have historical records.

Does Inactive remove historical visits?

No. Historical visits, billing records, payroll information, and reports remain available.

Should an unused service be deleted?

Normally, no. Change the service to Inactive.

Can an Inactive service be activated again?
